Animal Use Protocols (Artemis)
Artemis is the electronic Animal Use Proposal Submission and Review web application used by the IACUC on the UGA campus. It provides real-time access to information regarding review status, approval status and expiration dates.
Artemis users are automatically subscribed to the Artemis Users Listserv to receive timely notices concerning IACUC and IACUC policies, Artemis and system downtime.
- Log into Artemis
- Look for ‘PI’ in the upper left corner of your main page
- Move the cursor over ‘PI’ to reveal a drop-down menu
- Click on ‘Submissions’
- Under New Form, click “Create New ‘New AUP Submission Form’” to open a blank protocol form
- Log into Artemis
- Look for the PI tab in the upper left corner of the main page
- Move the cursor over PI to reveal a drop-down menu
- Click on the type of item in question from the list (Submission, Renewal or Amendment)
- Once you have reached the overview for a particular item type, check the Under Review and Under Revision sections for your item
- Log into Artemis
- Look for ‘PI’ in the upper left corner of your main page
- Move the cursor over ‘PI’ to reveal a drop-down menu
- Click on ‘Submissions’ to reveal your AUPs
- Under ‘Approved’, find the AUP referenced above
- Click on ‘Create Renewal’
- Please Note if the ‘Create Renewal’ button is greyed out, an auto-generated renewal may have been created for you. You can check for this by looking in the Under Review section of the Renewal page.
- Add relevant information to the form
- When you have completed the form, click on ‘Save and Submit Form’ to submit it – this will initiate the review process.
- NOTE: The review process for the form you have completed cannot begin until you click on ‘Save and Submit Form’
- Log into Artemis
- Look for ‘PI’ in the upper left corner of your main page
- Move the cursor over ‘PI’ to reveal a drop-down menu
- Click on ‘Submissions’ to reveal your AUPs
- Under ‘Approved’, find the AUP you wish to modify
- Click on ‘Create Amendment’
- Add relevant information to the form
- NOTE: Addition of animals or personnel must be indicated in section 2 and 3 of the Amendment form respectively
- When you have completed the form, click on ‘Save and Submit Form’ to submit it – this will initiate the review process.
- Log into Artemis
- Look for the PI tab in the upper left corner of your main page
- Move the cursor over PI to reveal a drop-down menu
- Click on Submissions
- Under Approved, find the expiring AUP
- Click on Copy to New Draft to create a template containing the entirety of the expiring AUP
- NOTE: Amendments to the expiring AUP are NOT copied into the new draft
- For Question 2.5 (Is this replacing another AUP), choose ‘Yes’, and select the AUP number of the expiring AUP
- Please take the time to review the new draft prior to submission
- Note – Material in Amendments will need to be incorporated into the new AUP as amendments are not included when using the Copy to New Draft feature.
- Review AUP form questions as additional questions may have been added to the form, or changed, since the AUP was submitted 3 years ago
- If you need to leave an AUP that is not yet ready to submit, you can save it as a draft by scrolling to the end of the protocol form and selecting “Save Draft.”
- To return to an AUP draft, navigate to the PI menu in the top left corner of your main page
- Select ‘Submissions’
- Scroll to the ‘Drafts’ section and locate the Draft you would like to work on
- Click “Modify Form” to continue working
To check to see if a form has been returned to you with a question/comment from the veterinary reviewer:
- Log into Artemis
- Look for ‘PI’ in the upper left corner of your main page
- Move the cursor over ‘PI’ to reveal a drop-down menu
- Click on the type of item in question from the list (Submission, Renewal or Amendment)
- Check the ‘Under Revision’ section to find the form. Information as to what revision has been requested can be found in the ‘Revision Comments’ box.
- Click on ‘Modify Form’ to open the form for revision
- Make changes by editing the original text of the form itself. Please note that answering the questions in the comments box or by adding new information after the original text without correcting/updating the original text is not sufficient.
- *Remember to click on ‘Save Draft’ at the end of the form before logging out whenever you make a change
- When your revision is complete, click on ‘Save and Submit Form’ to submit the revision – this will send it back to the veterinary reviewer to continue the review process.
- NOTE: The item cannot continue in the review process until you click on ‘Save and Submit Form’ which sends it back to the veterinary reviewer.
- Log into Artemis
- Look for the Reviewer tab in the upper portion of your main page
- Move the cursor over Reviewer to reveal a drop-down menu
- Click on the item type (Submission or Amendment) which displays a number greater than zero, i.e. (1)
- Upon completion of review, if you are satisfied with the protocol, select “Approve”
- If you have further comments or questions for the PI, type them into the internal comments box and hit “Add Comment.” Then select “Reject” to move the protocol back to the IACUC Office queue for distribution to the PI. Once the PI has responded, the item will be sent back to your queue for review.
- Log into Artemis
- Look for ‘PI’ in the upper left corner of your main page
- Move the cursor over ‘PI’ to reveal a drop-down menu
- Click on ‘Submissions’
- Scroll down to the Approved section, and locate the AUP you wish to change
- Click ‘Create Amendment’ and describe the change in the Amendment form
- When you are ready, click ‘Save and Submit Form’
- NOTE: This process requires modification to the form by the Office of Animal Care and Use and may not be immediately reflected in the form after Approval
At this time it is not possible to attach documents directly to your Artemis protocol. However, you can cut and paste text from other documents into your animal use protocol (AUP) form. If you would like to submit other support documents/information to your protocol, please contact the Office of Animal Care and Use.
A digital signature is automatically added to the protocol for you when you click the ‘Save and Submit’ button.
